Currently, we are looking for a passionate and energetic Customs Coordinator to be based in the Customs Compliance RAK. In this role, the successful candidate is responsible to provide the Best Customer Experience for Customers, by ensuring all shipments are executed within the promised Service Levels. He/She also acts as the P&L owner for all their shipments and is responsible to provide timely and accurate updates to the customer on shipment status and other enquiries.


Key Responsibilities


  • Ensure all outbound shipments are actioned in line with Service Levels, Transit time, customer SOPs and KPI timelines. Ensure that quotations are approved before shipments are moved. Physical File to be created for all confirmed shipments, except for accounts that have agreed to paperless invoicing
  • Collect and Validate customs clearance documents (Commercial documents) from customers and process customs declaration without any errors.
  • Open the Job in CW1 and Post all Revenue charges in line with the agreed quote / contract, within the defined KPI timelines, and without errors / gaps, wherever invoicing is in scope. Carry out shipment level costing for files, and validate there is no revenue leakage and all costs are booked without errors. Verify GP and Handover file to Finance for dispatch (physical/paperless) within agreed KPI timelines
  • Effectively & proactively monitor and track the progress of the shipment from departure to arrival and ensure all internal / external stakeholders are updated of any deviations and exceptions. Pre-alerts are sent promptly and accurately wherever applicable.
  • Acts as first contact point for their customers. In case of DGF cargo insurance, shipment related documents (AWB, commercial documents) needs to be provided to the insurance team. For claims, redirect the request to the relevant parties for obtaining supporting documents and send to Insurance / Customer
  • Liaise with RAK Customs officials for day to day operational issues and ensure the smooth operation.
  • Interact with Customer Service, Product, and Global Service Centers, Government authorities and Port Authorities if required
  • Timely reconciliation of Cash transactions and follow up with finance for the settlement within the stipulated timeframe
  • Obtain necessary endorsement from RAK customs officials and timely submission of exit entry certificate in RAK.ae Portal, Track the application until the same approved/settled by customs.
  • Actively seek and report operational process gaps / errors, with an aim to continuous improvement, using First Choice tools like PDs, PRS, Gemba, PEAs etc.
  • Ensure that all shipments are handled in line with the guidelines of Internal regulations (such as and not limited to QHSE, DGF Compliance, Export Control, Military Goods etc.) and External regulations put forth by Customs and other Regulatory bodies


Job Skills, Qualifications & Experience:


  • Knowledge of freight forwarding business, specifically RAK Operations.
  • Good administration skills
  • Cooperative working with others to achieve targets and objectives
  • Responsibility and capacity to keep commitments
  • Compliance with the intent of policies, procedures and agreements
  • Diploma or Graduate in any discipline
  • 2-3 years’ experience in logistics, warehousing & distribution operations
