Education

A Bachelor degree in Business Administration/Office Management is preferred, or equivalent through experience.


Management Assistant

The Management Assistant provides support to several managers, other employees, and office visitors by handling a variety of tasks in order to ensure that all interactions between the organization and the others are positive and productive.

The Management Assistant is a born multi-tasker with excellent communication skills and an upbeat attitude.

In this case, we are looking for a Management Assistant to support the Legal, Regulatory and HR departments.


Accountabilities

  • Demonstrates a helpful and positive presence in the workplace;
  • Assists management and all visitors to the company by handling office tasks, such as filing, scanning documents, generating reports and presentations, setting up meetings; handling of expense reports, payments of invoices;
  • Maintains polite and professional communication via phone, mail, and e-mail;
  • Makes travel arrangements, such as booking flights, trains, cars and making hotel and restaurant reservations;
  • Takes care of registrations at trainings, workshops, conferences;
  • Is in charge of organising meetings (on & off-site) from A-Z: planning of meetings, agenda follow up, taking notes during meetings;
  • Ensures security, integrity and confidentiality of data & documentation;
  • Ensures data input, storage & approval of documentation to guarantee the availability of correct & liable information for the department(s) he/she supports;
  • Prevents or solves problems, anticipates the needs of others.

Profile requirements

  • A Bachelor degree in Business Administration/Office Management is preferred, or equivalent by experience;
  • Minimum 5 years of experience with administrative support in an international environment;
  • Knowledge of office management systems and procedures;
  • PC skills : experienced user of MS Office tools : Outlook, Excel, Word and PowerPoint;
  • Languages : fluency in English and Dutch (written and spoken), French is a nice asset
  • Leadership:

    • Interest in administrative process optimization.
