Data Entry Clerk - International

Reporting to the Manager, International Admissions, this position provides processing support and assistance the International Admissions department. The incumbent is responsible for record creation, updating and maintenance as assigned throughout the different stages of the application cycle. Additional support may be provided to the main reception desk plus fielding and taking action on all general telephone and email inquiries. The incumbent must have knowledge, and be able to manage, multiple student information systems (i.e. Banner, ISP Database etc.) and their relevance to various College departments, while prioritizing daily tasks.

Responsibilities:

The duties of this position include, but are not limited to:

Record Creation

Following established processes, creates applicant records by:

  • Verifying applicant information
  • Generating an ID and record in Banner (SVAOCAS or SPAIDEN)
  • Updating necessary information in ISP database
  • Movement and storage both hard copy (paper) and computer based applicant files

Record Updating

Following established processes, update student records at different points throughout the application cycle, by:

  • Reviewing reports daily on applicant status
  • Update applicant status (i.e. Applicant Spreadsheet, Deactivations, Refunds, Visa Status)
  • Create new ID (i.e. Deferrals)
  • Application lifecycle tasks as it relates to application maintenance as assigned
  • Movement and storage both hard copy (paper) and computer-based applicant files

Receipt Creation

Following established processes, creates the Record of Payment following applicant payment, by:

  • Reviewing report daily of payment status
  • Verifying applicant information
  • Generating a receipt from ISP
  • Updating ISP
  • Loading details in communication tool
  • Movement and storage both hard copy (paper) and computer based applicant files

Other Duties

Acts as a backup support for the Support Officer – International for international applicant inquiries and provides interpretation and advice on policies as well as promoting the college’s programs by:

  • Reception or first point of contact for all telephone inquiries for International Admissions
  • These activities include supporting the main reception desk plus fielding and taking action on all general telephone and email inquiries

Other duties as assigned.

Qualifications:

The successful candidate will have:

  • A minimum of two-year post-secondary education in Officer Administration, Business General, or related fields; or equivalent combination of education and experience.
  • A minimum of two year of related work experience with emphasis on data entry and data processing.
  • Applied knowledge/experience of Post-Secondary and ESL programs, as well as college systems (Banner) is highly preferred.
  • Demonstrated commitment and understanding of human rights, equity, diversity and inclusion with the ability to communicate and work effectively with diverse groups of students, employees and the community.
