Job Summary

Provides administrative and secretarial support to the department with tasks organized around graduate secretary duties, office management and assistance to the director. The position works closely with the program's director, the graduate advisor and the academic administrative officer.

As the sole support staff in IGOV the position requires excellent skills and proven experience at multi-tasking, taking initiative, using good judgment and thinking independently. The position is required to have a strong general knowledge of a variety of University processes and more specialized knowledge of systems and processes related to Graduate Studies.

Situated within a program that has a significant number of Indigenous students as well as strong ties to Indigenous Communities, the position must have a solid understanding of Indigenous cultures, skills in communicating across difference and must understand and be able to navigate cultural protocols.

Job Requirements

Skills:

  • Excellent computer skills in the Microsoft suite of applications, website maintenance software and experience with university systems including BANNER and FAST.
  • Good understanding of database and information management.
  • Ability to work as part of a team and without supervision.
  • Must have excellent attention to detail, accuracy, be able to identify and set priorities, and manage self and others to deadlines.
  • Ability to anticipate needs and issues.
  • Excellent interpersonal skills and ability to work with many different constituents.
  • Excellent at multi-tasking and completing work while having interruptions.
  • Ability to act effectively in an administrative capacity and exercise diplomacy and confidentiality.
  • Ability to work independently and prioritize work with minimal direction using judgement and initiative.


Specialized Knowledge/Education:

  • Solid knowledge of Indigenous cultures.
  • Awareness of Indigenous cultural protocols.

Experience:

  • Experience working with Indigenous peoples and communities.
  • Secretarial or administrative assistant experience in a post-secondary environment.
