About This Role
The Zoom team is looking for a Workplace Coordinator to help lead the day-to-day operations in our customer-focused Amsterdam Engagement Hub and provide additional virtual support for our teams across EMEA and APAC, with a focus on delivering happiness and great service to all customers, employees, and visitors! The ideal candidate will show initiative, great organizational skills and doesn’t mind wearing multiple hats while taking on new challenges. This is a parttime (3 days a week) role for initially 6 months.
Responsibilities:
- Coordinate client visits, executive tours, and internal events in Amsterdam, focused on delivering exceptional experiences in the workplace.
- Support planning and logistics of customer events across EMEA and APAC regions
- Welcomes and greets customers & visitors in our Amsterdam office. Pre-registers customers & visitors and functions as point-of-contact on-site during customer visits
- Manage the reception desk in Amsterdam. When needed, serve as virtual receptionist for key sites across EMEA and APAC.
- Responsible for programming access badges for Zoom employees.
- Responsible for the timely and proper handling of shipping and receiving for Amsterdam and across the EMEA region, working closely with local & international shipping providers.
- Responsible for maintaining and ordering all office and cleaning supplies in Amsterdam, and assisting across key sites in EMEA and APAC regions.
- Assist in overseeing daily janitorial staff in Amsterdam ensuring office cleanliness is a top priority.
- Assist with Zoom’s food and snack program in Amsterdam and assist across key sites in EMEA and APAC.
- Ensure workspaces, parking spaces and lunches are properly booked and provide metrics where needed.
- Help oversee the day-to-day workplace operations of our Amsterdam office. Conduct multiple spacewalks daily for preventative maintenance, ensuring space is clean and tidy.
- Manage and respond to Zoom’s internal ticketing systems within set SLA’s.
- Function as a member of the health & safety team, setting up and following emergency protocols including taking a lead during evacuations.
- Partner closely with onsite stakeholders and administrative team to support office needs, communications, events, and program initiatives.
- Minimum 1-2 years of experience working in a Workplace, Events, Office Management or Facilities type role, delivering top notch customer service and helping create a class employee experience daily.
- Stakeholder/vendor management, health & safety and preventative maintenance experience preferred
- Organized self starter, ability to work independently, driving projects and tasks to completion with little direction
- Experience with internal facility ticket systems and meeting SLA’s.
- Understanding of working in a hybrid environment, across geographies and timezones.
- Responsive and ability to adapt to an ever changing atmosphere.
- Energetic, outgoing and always willing to dive in where needed.
