Tēnei tūranga - About the role:
The Executive Assistant is responsible for providing professional secretarial, organization and administrative support to a General Manager (GM) ensuring all tasks are completed in a proactive manner, facilitating the needs of the business. This will be executed by:

  • Providing proactive and efficient diary management, correspondence and administrative * Supporting the GM and ensuring their day-to-day work activities are managed effectively. * Being a communications link between the GM and the wider organisation by building highly effective relationships and strong connections. * Supporting the wider Executive Assistant, administration and reception support teams in a proactive and collaborative way. * Exercising discretion and initiative to enable information to flow efficiently between your manager and the organisation. * Facilitating knowledge transfer, skills development, back up services and workflow practices that deliver a highly effective EA service.

  • A proven track record of experience and achievement in a senior executive support role or a highly skilled and experienced PA looking to step up to the next level. * Wide ranging knowledge of administration systems and processes. * Knowledge and understanding of working within a government agency. * Excellent relationship management skills at all levels * Experience taking minutes, managing a time sensitive in-box, booking meetings and supporting the leadership team/branch meetings. * Proven ability to develop trust and credibility at the executive level. * Understanding of MBIE and where the business group or branch fits in delivering outcomes for the Ministry of Economic Development. * Strong communication, influencing and interpersonal skills. * Excellent Microsoft Office skills (Word, Excel, PowerPoint).
