JOB PURPOSE

To provide specialized support functions and/or supervise staff performing and implementing well defined standard port & Shipping/logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.

KEY ACCOUNTABILITIES (not all-inclusive)

1. Provide specialized support to logistics operations and activities, including providing a range of coordination, administrative and technical support to port operation activities, following standard processes and contributing to effective shipping and discharge operations.2. Coordinate requisitioning and ensure timely delivery of commodities and supplies to authorised partners and destinations.3. Monitor shipment discharge, related contracts, reporting and invoice receipt/settlement, ensuring that corporate systems are regularly updated, and the appropriate processes and procedures are followed, to support the planning, execution, and final reports of the shipments.4. Research, collect and analyse data to produce reports (e.g., corporate reports, internal performance reviews) that enable informed decision-making by Logistics Officers, and consistency of information presented to stakeholders.5. Maintain and further develop databases and records, ensuring that relevant information (contracts, shipments, payments, pipeline, etc.) is accurate, organised, available for others to access, and supports reporting requirements.6. Support oversight for commodity accounting data quality and integrity.7. Actively contribute to risk mitigation activities by checking and verifying shipment data and/or documents, identifying and resolving straightforward issues, or escalating them to a Logistics Officer.8. Resolve issues related to clearance and port operations, using initiative, liaising with all parties, and following standard processes, to ensure timely and accurate resolution of problems.9. Actively participate and make suggestions in support of process reviews and improvements in methods and practices used, to maximise the efficiency and effectiveness of the service.10. Oversee and/or review the work of junior staff, providing practical advice and guidance, to contribute to delivering objectives to agreed standards and deadlines11. Perform research, collect data and conduct analysis, produce reports (e.g. CCTI, SPRs, financial closure, physical inventory, transport performance) and ensure information accuracy in corporate systems to enable informed decision-making.12. Liaise with internal and external stakeholders to support logistics operations management and contribute to effective service delivery.13. Identify, resolve and/or provide recommendations on specialised queries/requests for support , using initiative and following standard processes, to ensure timely and accurate resolution of enquiries with excellent client service mind-set.14. Any other duties as required.

STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCES

Education: University Degree (Bachelor’s or Equivalent) in Maritime Studies, Logistics, Supply Chain, Business Administration, Engineering, Economics, Law, Information Technology or related fields

Experience: A minimum of 5 to 6 years of experience in Shipping, Clearing and Forwarding including port operations, data analysis and reporting.

Knowledge & Skills:

Excellent knowledge of Port Operations and ShippingExcellent interpersonal and problem-solving skillsEfficiency and Time-ManagementGood communication skillsExcellent data anlytics skillsKnowledge of SAP and other ERP softwaresExcellent knowledge of spreadsheets/charts/forms/tables

Languages: Proficiency in writing and verbal communication in English
