About this opportunity

Office Assistant Intern is responsible for supporting general office duties to ensure company processes run smoothly.
In this role, you will…

  • Creating a friendly and safe environment at the reception and the entire facility for all employees and visitors of the Align manufacturing facility. .
  • Administrative support for all departments (for example preparing digital copies, printing, laminating, archiving documents).
  • Monitoring and maintaining office supplies inventory.
  • Managing conference room’s booking system.
  • Close cooperation with EHS department to ensure all Health & Safety aspects are covered.
  • Managing parking policy.
  • Supporting HR department, including CSR activities, language courses, trainings, translations and NHO organization.
  • Supporting all departments with organizing internal and external meetings, conferences, company events (including Christmas Party etc.).
  • Supporting travel & accommodation bookings when necessary.
  • Preparing gifts/gadgets for employees, ordering meals.
  • Managing communication flow for all employees regarding facilities/office topics.
  • Backing up the Receptionists / Office Assistant in case of any absence.
  • Ensuring proper workflow of incoming documents related to Office Management.
  • Creating, coding and distributing the access badges for all employees and guests.
  • Handling incoming post, including registered mail.
  • Handling outgoing post / shipments.
  • Perform other assigned duties.

In this role, you’ll need …

  • Excellent communication, well organized and proactive.
  • Accuracy and attention to details..
  • Helpful, with positive approach to the people, service minded.
  • Computer skills knowledge in Microsoft Office and Microsoft Windows.
  • Polish language skills on C1-level or higher (CEFR)
  • English language skill on at least B1-level (CEFR)
  • Secondary education
