Role purpose:

To work with designated Directors’/Managers’ to carry our various operational / filing duties as detailed below.

Competently carry out duties in a professional manner and in accordance with regulatory requirements, service levels and company standards so as to meet with business expectations, with the support of other members of the team, when required.

Duties & Responsibilities Relating to Operational Work:

  • To assist with the opening & sorting of daily post, in the absence of a Filing Team member, or should assistance be required.
  • Physical filing of paper records as directed, including confidential documents for HR.
  • Scanning & Profiling of documents onto DMS.
  • Set up new client physical files.
  • Record the opening and closing of physical files on NavOne.
  • Control the issue and return of all cheque books.
  • Control the issue and return of all safe custody items.
  • Prepare documents for archiving, including assisting with the completion of closures.
  • Organise the sending and retrieval of boxes to and from offsite archive facilities.
  • To participate in projects which are proposed from time to time.
  • Business support role.
  • Knowledge of Data Protection Procedure.
  • To complete all mandatory training.

Requirements:

  • Microsoft Office experience.
  • Some experience (not essential) with working on Scanners.
  • Will generally have 1 – 2 years filing and scanning experience, ideally in financial services.

Skills:

  • Good level of written / spoken English.
  • Good Microsoft Word, Excel and Outlook skills.
  • Proficiency in filing and general office administration.
  • Able to work autonomously on allocated tasks and/or in accordance with instructions received, meeting specific deadlines and service level requirements, following Company procedures and obtaining support from the team, where necessary.
  • Intellectually curious, enthusiastic to learn and to have problem solving skills.
  • High levels of concentration required, along with the ability to work alone.
  • Well organised, with good administrative skills.
