This is a remote position.
As an Administrative Assistant, your role will be to provide comprehensive administrative support to the recruitment team. You will assist with various tasks, such as formatting resumes, managing documentation, and maintaining databases. Your contribution will be vital in ensuring efficient and effective recruitment processes within the department.
Key Responsibilities:
Administrative Support:
Maintain an organized filing system for resumes, applications, and other recruitment-related documents.
Document Management:
Format and file resumes according to HCG’s guidelines, coordinate applications, and other recruitment-related documents.
Ensure all documentation is accurately labeled, stored, and easily retrievable.
Update and maintain the applicant tracking system or recruitment database with accurate and up-to-date information. Refresh job postings.
Prepare regular reports and statistical data related to recruitment activities.
Onboarding Support:
Assist in coordinating pre-employment paperwork and ensure completion by new hires.
Help prepare orientation materials and schedules for new employees.
Support the onboarding process by providing necessary information, such as company policies, procedures, and benefits.
Collaborate with other departments to ensure a smooth transition for new hires.
Data Management and Reporting:
Maintain accurate and up-to-date recruitment-related data and generate reports as needed.
Compile and analyze recruitment metrics, such as time-to-fill, source of hire, and diversity statistics.
Prepare regular reports for management regarding recruitment activities, progress, and challenges.
Requirements
High school diploma or equivalent; additional education or certification in human resources or related field is a plus.
Previous experience in an administrative or support role is preferred.
Familiarity with recruitment processes and terminology is advantageous.
Proficiency in using office software (e.g., Microsoft Office Suite, Google Workspace) and applicant tracking systems.
Excellent organizational and time management skills with strong attention to detail.
Effective written and verbal communication skills.
Ability to work independently as well as collaboratively within a team.
Strong interpersonal skills and the ability to maintain confidentiality.
Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
Willing to learn new things.
