RESPONSIBILITIES:


The incumbent will be responsible for, but not limited to, the following:


External bursaries:

  • Adding relevant warnings/blocks on students who have pending suspected fraudulent activities on their student accounts;
  • Providing sponsors and students with students’ accounts and results;
  • Verifying posted students’ transactions into students’ accounts;
  • Awarding and disbursing National Research Funds per journals received into the student account; and
  • Reversing funds disbursed from student account per National Research Funds journal.


Pay-outs and refunds to students:

  • Approving monthly scheduled payouts and refunds on Peoplesoft system to students; and
  • Scheduling of payments (payouts and refunds) to students’ personal bank accounts for National Research Funds journals as well as application forms from students.


General and Ad-hoc administration:

  • Preparing quotations; and
  • Compiling item type request files per academic plan and modules.


Follow up on outstanding fees:

  • Following up with sponsors regarding unallocated deposits and overdue invoices; and
  • Following up with sponsors and students regarding overdue tuition fees.


Payment arrangements:

  • Capturing payment arrangement forms on Peoplesoft system.


Memorandum of
Understanding or Agreement

  • Preparing/formatting Memorandum of Understanding or Agreement with sponsors.


Registration process

  • Lifting registration financial block on the student account at the beginning of the academic year.


MINIMUM REQUIREMENTS:


  • Relevant 3 years’ National Diploma or equivalent with Accounting as a subject; and
  • Two years’ experience in a financial environment preferably in student administration in a tertiary institution.


REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):

  • Analytical skills;
  • Client service and enquiries;
  • Financial administrative knowledge;
  • Computer literacy;
  • Ability to work under pressure and independently;
  • Communication and negotiation skills;
  • Attention to detail; and
  • Ability to meet deadlines.


ADDED ADVANTAGES AND PREFERENCES:

  • A degree or equivalent qualification with Accounting as a subject;
  • Three years’ experience in a financial environment or in a higher education environment;
  • Three years’ experience in administration of refunds and bursaries; and
  • Three years’ experience in the use of PeopleSoft or equivalent Enterprise Resource Planning (ERP) system.
