Job Description

Job Summary:

  • Ensures accurate and timeous completion of administrative duties;

  • Coordinates the activities of the Laboratory Information Management System;

  • Ensure service delivery to customers;

  • Self-Management;

  • Minimize Financial Risks;

  • Statutory Duties;

  • Implementation of QMS (ISO 17025);

  • Communication and reporting to internal and external stakeholders; and

  • Ensures accurate and timeous completion and filing of all source documents.

Job Requirements

Qualification Required:

Minimum qualification of a Grade 12. Tertiary diploma or certificate in Office administration.

Experience Required:

At least 1 year data capturing experience within an office environment.

Skills & Knowledge Required:

  • Well developed interpersonal skills;
  • Excellent oral and written communication skills;
  • Sound technical record keeping techniques;
  • Ability to work under pressure;
  • Propensity to pay attention to detail;
  • Computer literate;
  • Organizing and Planning; and
  • MS Office (Word & Excel).

Key Responsibilities:

Statutory Duties:

  • Compliance to statutory requirements.

Technical processes –implementation:

  • Sample registration – LIMS;
  • Data collection for reports;
  • Creating Service Requests; and
  • Creating Certificate of Analyses.

Meetings:

  • Participate in laboratory operational meetings.

Implementation of QMS (ISO 17025):

  • Implement standard QMS protocols;
  • Compliance to statutory requirements; and
  • Records all non-conformances observed for further investigation.

Communication, Advising and Reporting:

  • Comment and report timely on irregularities;
  • Advise Quality Manager on achievements and short comings of Lab QMS (ISO 17025);
  • Effective communication and reporting that leads to improved internal relationships and decisions; and
  • Answering incoming telephone calls.

Finance:

  • Conformance to financial and control policies; and
  • Handling of e-mails.

Administrative:

  • Ensure meticulous typing of certificates; and
  • Implement filing system, maintain and keep records.
