Introduction

Our international client is looking for an Property Management Assistant to join their team. The incumbent will play a pivotal role in ensuring the smooth and efficient day-to-day operations of various properties and will be responsible for overseeing various aspects of operations, enhancing client satisfaction, and optimising operational efficiency. The incumbent will work closely with the Operations Manager and wider Senior Management Team.

Duties & Responsibilities

  • Accurately inputting, updating, setting up workflows and reviewing completed tasks in the Operational Software.
  • Producing, tracking, and updating the Daily Operations Schedule.
  • Carefully and thoroughly reviewing pre and post clean images to identify maintenance issues, replacement items or potential operation issues.
  • Ensuring evidence is collected and sufficiently stored in relation to each operational task.
  • Supporting the Operations Manager in ensuring the weekly/monthly/yearly compliance calendar is kept up to date.
  • Liasing with contractors, attaining quotations and booking in repairs.
  • Helping maintain an organised and up to date inbox and cloud-based filing system.
  • Updating the stock management system to help track and manage supplies across the business.
  • Implement and enforce standard operating procedures (SOPs) to maintain consistency across all sites.
  • Collaborate with department heads to streamline processes and improve overall operational efficiency.
  • Monitor and assess the performance of each site to identify areas for improvement.
  • Supporting the Operational Team to meet KPI’s.
  • Champion a culture of exceptional client service and satisfaction.
  • Analyse guest feedback and implement strategies to enhance the overall client experience.
  • Address and resolve escalated guest issues in a timely and effective manner.
  • Be able to offer guidance to maintenance and cleaning teams.
  • Support the Operations Manager in providing regular training sessions to ensure staff members are well-versed in company standards, procedures & programmes.
  • Help arrange team events, team building and social events.
  • Work closely with the Operations Manager to set budgets manage budgets and control operational costs.
  • Help to produce reports which help identify cost saving activities and upsell opportunities for revenue growth and cost savings.
  • Carry our corrective actions in financial reports as needed.
  • Help in the reporting process following inspections and audits to ensure compliance with quality standards.
  • Implement and monitor health and safety protocols to maintain a safe environment for clients and staff.
  • Collaborate with relevant stakeholders to address and rectify any quality issues.

Desired Experience & Qualification

  • Proven experience in property management, with experience in a leadership / supervisory role.
  • Understanding of the property and/or hospitality industry and current market trends.
  • Attention to detail is one of the most important skills required to be successful in this role.
  • Advanced IT skills – this is a critical skill set for this role.
