Job Description / Responsibility

  • Community Partners International (CPI) is a U.S. based nonprofit organization that is working with a local partner organization: Green Hill (GH), to expand access to quality health services and generate the resources, local capacity and coordination necessary for partners and the people to meet their own health and community needs.
  • The HR & Administration Coordinator will be responsible for providing support in managing the human resources, administrative functions and fleet management of the organization. This position will work closely with the management team to ensure compliance with local laws, regulations and organizational policies, and provide timely and efficient services to staff.
  • Recruitment and Selection:
  • Develop job descriptions, post job vacancies, screen and shortlist candidates, and conduct staff separation processes and exit interviews.
  • Ensure compliance with organizational recruitment processes, policies, and procedures.
  • Ensure compliance with government guidelines on volunteer and cash for work payments.
  • Prepare employment contracts and support orientation and onboarding for new hires according to the organization's onboarding checklist.
  • Human Resource Management:
  • Support all day-to-day HR related inquiries and responsibilities and provide assistance and correspondence with internal and external stakeholders.
  • Maintain employee records and files, including personnel data, contracts, leave records, and performance appraisals, in electronic and paper databases.
  • Coordinate the full cycle of volunteer attendance sheet dissemination to the field, collection, preparation, and generation of incentive sheets as per allowable rates.
  • Support SMT in the development and maintenance of HR policies and procedures and ensure compliance with local labor laws.
  • Manage the filing system and ensure documents are accurately stored and easily accessible.
  • Provide support in the management of employee benefits, compensation, and leave according to policies.
  • Coordination and management of timesheets according to allocation.
  • Coordinate performance evaluations, objective setting, mid year, end year, 90 day performance, etc.
  • Update Organogram as required
  • Support & Guide support staff such as cleaners, cook and guards as required
  • Administration:
  • Manage the office administration function, including the maintenance of office equipment and supplies for the office and warehouse.
  • Coordinate and manage staff and partner travel arrangements, logistics, and events.
  • Coordination of weekly staff meetings, staff training, monthly/ quarterly staff wellbeing sessions, picnic/ conferences etc.
  • Manage the staff learning & development database.
  • Update emergency phone tree as required
  • Manage the distribution of supplies, equipment and visibility items as per request
  • Manage the organization's warehouse and inventory of supplies and assets.
  • Maintain a detailed record of the organization's assets and inventory management
  • Ensure all assets are well-maintained, serviced regularly, and kept in good condition.
  • Support SMT in the development and implementation of policies and procedures for the safe and efficient use of the organization's assets.
  • Ensure compliance with all applicable laws, regulations, and safety standards for operating and managing assets.
  • Fleet Management:
  • Maintain a detailed record of the organization's vehicles, including insurance, registration, and maintenance schedules.
  • Ensure all vehicles are well-maintained, serviced regularly, and kept in good condition.
  • Support in the development and implementation of policies and procedures for the safe and efficient use of the organization's vehicles.
  • Ensure compliance with all applicable laws, regulations, and safety standards for operating vehicles.
  • Ensure effective utilization of vehicles and support cost reduction efforts
  • Compliance and Reporting:
  • Ensure compliance with statutory requirements and regulations, including labor laws and taxation.
  • Prepare and submit timely reports, including monthly, bi-monthly, and quarterly HR and administration reports, to management and relevant stakeholders.

Educational Requirements

  • Master's degree in Human Resource Management, Business Administration, or a related field.
  • At least 2 years of working experience in Cox's Bazar in a similar HR & administration position.
  • 5-7 years working experience in HR & Admin Department

  • Excellent knowledge of local labor laws, human resources processes and best practices.
  • Strong ability in GOOGLE SUITE, MS Office etc.
  • Ability to handle data with confidentiality.
  • Fluency in written and spoken English and Bangla language
  • Ability to establish priorities in a time-sensitive environment and meet deadlines with strong attention to consistency, detail, and quality.
  • Ability to work in a fast-paced innovative environment
